PTAG is currently seeking a Project Controls Coordinator with Waste Management experience to support several projects. The Project Control Coordinator (PCC) is an intermediate level project control position. The PCC takes a lead role in the establishment of project management systems used for the planning and control of projects. The PCC has the responsibility for the production and updating of Work Breakdown Structures, project schedules, cost estimates, and various control databases. S/he performs analysis, progress monitoring and reporting. The PCC reports to the Section Head, Project Controls. The PCC interacts daily with work package leaders, gathering and analyzing critical project performance information, investigating variances and initiating corrective action. The PCC may take a lead in the preparation of scope, schedule and cost management plans, writing reports, chairing meetings and delivering presentations. The PCC may be required to supervise more junior staff, assume leadership roles in peer groups and take on other duties as assigned by management.

  • Coordinate the scope definition and prepare the Work Breakdown Structure (WBS)
  • Work closely with the S/H Project Controls in the preparation and maintenance of baseline and working project schedules, and control of schedule changes
  • Analyze the schedule performance of the Port Hope and/or Port Granby project, determine variances, monitor trends, recommend improvements, take corrective actions and implement changes
  • Work closely with the PHAI Project & Program Costs team in order to obtain actual cost expenditure information and measure project progress performance using Earned Value Analysis
  • Work closely with the Project Management Process Coordinator, who is in charge of risk/change management, in application of risk/change management process to the Port Hope and/or Port Granby project
  • Coordinate and control changes to scope and cost and ensure related approval and configuration management documentation is in place before baselines are adjusted
  • Coordinate the production and maintenance of risk registers
  • Perform schedule, cost and/or risk analysis when required
  • Coordinate the resource and cost loading of schedules
  • Support Project Controls team in the planning and control framework, including definition of the hierarchies, coding and account structures required for tracking, analysis and performance measurement
  • Prepare tools, templates, and procedures related to project planning; assuming leadership role within peer working groups
  • Verify the legitimacy of changes, identify variances, and recommend corrective actions
  • Support Project & Program Costs team in the cost estimating and budgeting processes when required
  • Preparing sections of the project progress report
  • Chair/participate in project review meetings and make presentations of project information
  • Arrange meetings
  • Responsible for meeting PHAI quality requirements as defined in the PHAI QA Plan and supporting procedural documents in conducting the work
  • Prepare Monthly Project Report (MPR), Project Performance Report (PPR) and review with Project Delivery Director and Project Manager and present where necessary
  • Prepare and submit project accruals
  • Prepare Project review board presentations and participate in PRB meetings (quarterly)
  • Initiate i-Requisitions, prepare supporting documents (Briefing note, PR check list), follow-up the approval process Ensure project documents are filed in TRAK/document control (as required)
  • Ensure actual to P6 monthly
  • Ensure project documents are available in supporting databases (SharePoint, Collaborative Portal)
  • Help ensure PHAI APWB milestones and deliverables are met
  • Amend Purchase Orders when required
  • Work with contractors & consultants on construction schedule and incorporate contractor schedule into the master P6 schedule
  • Conduct Critical Path analyses with project team and provide corrective actions or solution for deviation
  • Receive progress update from contractor and project team and update P6 master schedule

  • Graduation from an accredited university or college in a discipline related to project management, business, commerce, or technology
  • 8+ years of increasingly responsible and relevant planning and control experience – or equivalent combination of education and experience related to program management
  • Demonstrated knowledge of project management principles and processes, as recognized by the Project Management Institute, and a proven ability to apply this knowledge in the planning and control of large and complex undertakings; designation as Project Management Professional would be an asset
  • Expert-level capability in the use of industry standard tools and software, including Primavera and Microsoft office applications; particularly proficient in the implementation of advanced features of Primavera project management software
  • Proven comprehension and application of corporate planning and corporate approval processes which apply/are similar to those that apply to the project
  • Has taken several training courses on the core knowledge areas recognized by the Project Management Institute (PMI)
  • Solid understanding of procedures for project management is a definite asset, as is being competent in the use of applications such as TRAK and Oracle
  • Has knowledge of the PHAI, its purpose, its history, and its legal, regulatory, and public context
  • Extremely proficient in gathering and analyzing project and program data, identifying anomalies and taking the next steps
